We offer 3X3 Stall sites and larger if required. If power is required we offer 10amps. Enquire for pricing - price depends on what you sell and size of site you require.
MARKET ATTENDANCE COMMITMENT
Stallholders agree to participate in the market for a minimum of four (4) consecutive weeks. Should the stallholder wish to discontinue their attendance after the initial trial period of four (4) weeks, a minimum of two (2) weeks written notice is required.
STALL FEE PAYMENT PROCEDURE
New stallholders are required to pay a two (2) week bond, in addition to settling weekly stall fees prior to each market day. Detailed payment instructions will be communicated to successful stallholders upon confirmation of the stall site.
WEEKLY FEES/PAYMENTS
Stall fees are due every week, with payment clearing into Robina Farmers Market bank account no later than COB on the Wednesday preceding market day. Failure to meet payment deadlines may result in the stall being cancelled and reassigned.
Stall fees are not refundable or transferable. In the event the market is cancelled due to weather conditions, stall fees are not refundable or transferable. In the event the stallholder does not attend a market day for whatever reason, stall fees are required to be paid (unless the required two (2) weeks notice was given in writing), and noted that the stall fees are not refundable or transferable.
CANCELLATION POLICY
In the case of a cancellation, stallholders must send a written notice via email at least two (2) weeks before the intended discontinuation. Any other form of communication to express wishes to cancel will not be accepted.
The initial two (2) week bond payment will cover the cancellation/stall fees for the final two (2) markets. Failure to comply with the trial period/minimum of four (4) weeks of attendance or provide adequate written cancellation notice will result in the forfeiture of the two (2) week bond.
MARKET OPERATION AND WEATHER
Robina Farmers Market operates rain, hail or shine. Stallholders are responsible for safeguarding their products and employees against adverse weather conditions (i.e. gazebos, gazebo walls, weights, sun protection). If Robina Farmers Market management decides to cancel the market due to extreme weather, stall fees will still apply and will not be refunded or transferred.
Bad weather is never an acceptable reason to miss a market day; it's crucial for both the market's success and the livelihood of stallholders that you show up, regardless of rain, hail, or shine.
STALL SETUP AND PACK DOWN
Specific setup and pack-down procedures will be communicated to stallholders upon booking confirmation. Early departures are not permitted to ensure fairness among traders and respect for customers.
If a stallholder ‘sells out,’ they must display a sign stating they are sold out and must remain with the gazebo and tables still standing until the market closes to customers at 11:30 am.
VEHICLE SAFETY AND MOVEMENT
Stallholders are required to unload their vehicles and move them out of the market area 1 hour before the market opens to customers at 6:30 am. Stallholder cars are to be out of the market grounds no later than 5:30 am.
Stallholders must follow staff directions and instructions at all times for safe movement. Hazard lights are to be on at all times during set up and pack down. Vehicles should not drive above 5 km p/h in the market precinct. No vehicle movement is permitted during market operating hours.
RUBBISH REMOVAL & CLEANING RESPONSIBILITY
Stallholders must clean their sites thoroughly, and all rubbish is to be removed. Any spills or marks on the ground are to be cleaned by stallholders. Stallholders are advised to take all measures necessary in and around their stall site to avoid spills and marks. i.e. Food Stalls should have mats down to catch potential spills.
Market bins are designated for lightweight trash only, and stallholders are expected to take their personal rubbish with them. No stallholder produce or excess/wasted stock is to be put in market bins.
FOOD AND DRINK SALES
Approval is necessary for the sale of food and drinks. Compliance with health regulations is essential. It is the stallholders responsibility to have all permits, insurances and licences to sell food and drink.
PRODUCT COMPLIANCE
Stallholders must adhere to all laws and regulations regarding product labelling, quality, and pricing.
All scales and instruments utilised for measuring goods sold by mass must be certified as suitable for commercial use, adhering to legislative guidelines.
Stallholders must not sell produce of poor quality produce, stolen goods or products that violate copyright
or trademarks.
STALLHOLDER EQUIPMENT
Stallholders are responsible for providing their equipment and ensuring they possess all necessary items for operation, including gazebos, adequate weights/sandbags, tables, chairs, table coverings, extension leads, etc.
Regardless of weather conditions, securing all four gazebo legs with substantial sandbags or suitable and secure weights is mandatory. When feasible, heavy-duty tent pegs can be employed. This requirement is compulsory regardless of weather conditions. Umbrellas must also be securely anchored with a substantial base and tethered to your gazebo whenever possible.
STALLHOLDER CONDUCT EXPECTATIONS
Professional behaviour is paramount. Offensive comments or behaviour will not be tolerated and may result in the cancellation of stall site.
PUBLIC LIABILITY AND INSURANCE
Stallholders must ensure they have their insurance for liability, indemnity, and product liability, as Robina Farmers Market Public Liability does not cover individual stallholders.
STALL SECURITY RESPONSIBILITY
Stallholders are responsible for providing their equipment and ensuring they possess all necessary items for operation, including gazebos, adequate weights/sandbags, tables, chairs, table coverings, extension leads etc.
ELECTRICITY USAGE DETAILS
Electricity is available at an additional cost, subject to approval and availability. Stallholders' electrical equipment must comply with safety regulations, and no refunds will be given for electrical supply issues.
PROMOTIONAL & ADVERTISING MATERIAL
Robina Farmers Market management has the right to utilise images, photographs and videos that may include stallholders, showcasing both the stallholder and/or their products, for promotional endeavours across social media platforms, website, other digital mediums and print marketing.
SMOKING AND PETS
Due to government health regulations, smoking and vaping is not permitted within the market area. Pets are not permitted where food is prepared.
RULES AND CONDITIONS OVERVIEW
Robina Farmers Market management reserves the right to refuse entry, control products sold, and use stallholder images for promotional purposes.
LOST AND FOUND PROCEDURES
Any found items should be handed in to Robina Farmers Market Management, and stallholders should direct individuals with lost items to Robina Farmers Market Management.
GENERAL RULES CLARIFICATION
Robina Farmers Market management is not liable for vehicle or personal losses or damages. Stallholders do not own sites, and exclusivity is not guaranteed. Management reserves the right to refuse entry or sales at their discretion.
